Services Department that provides accurate and detailed valuation advice their customers. All
surveyors are RICS registered, with expertise in property law and excellent knowledge of the county
of Sussex and surrounding area.

Job Purpose
To provide administrative support to our clients Commercial Agency Team
Position summary
Key responsibilities for this role include but not are not limited to:
Answering phone, dealing with enquiries and visitors to the office
Property to market administration including keeping window cards, boards and websites up to
date
Administration of our clients letting
Taking Application Deposits and drawing up the paperwork when required
Dealing with Tenancy Agreements (new Tenancies, Renewals, Changeovers)
Packaging and processing the Tenancy files
Updating Landlords on the progress of Tenancies
Preparing keys for inventory clerks
Setting up TDS certificates
Collecting Money Laundering details on Landlords and Tenants
Checking in tenants – signature of legal documentation and collection of monies
Stationary and office supplies management – ensure the office is fully stocked
Ensure tenant files and landlord brochures are made up day to day
To keep up to date with day to day filing
To keep Alto (property management software) up to date and in order
Provide a first-class service dealing with enquiries and ensuring correct procedures are
followed
Assist in creating systems to improve service delivery and ensure compliance standards are
not compromised
Use our clients pool cars in the course of business as described above
To keep up-dated with legal changes regulations
Attend any relevant training courses that are appropriate to the job title and specification
To follow the department Service Standards
Candidate Requirements:
Good communication skills
Ability to work under pressure
Good organisational skills
Good multi-tasking skills
Accuracy in typing and attention to detail
Confidence in dealing with people at all levels
Team Player
Proactive and flexible approach to work
Experience using Alto is ideal but not necessary
Possess good IT skills, particularly Microsoft Word and Excel, email, etc.
Full UK Driving Licence (clean)
